1. Scope
These general terms and conditions apply to all reservations, stays, and agreements concluded with Depraco NV, operating under the name Albion Hotel. By making a reservation, the guest declares that they agree to these conditions. The terms and conditions are available on the website and are also sent together with quotations.

2. Conduct of Guests
Guests are expected to behave in accordance with the rules and regulations of Albion Hotel. In the event of a serious violation, Depraco NV reserves the right to immediately terminate the agreement.

The guest and the contracting party are jointly and severally liable for any damage caused to the parking facilities, persons, buildings, furniture, or equipment of the hotel.

Smoking inside the building is strictly prohibited. If smoking is detected inside the building, a compensation fee of €150 will be charged immediately.

3. Liability
Depraco NV is only liable for damages that are the direct result of gross negligence or intentional misconduct.

The hotel is not liable for:

Theft, loss, or damage to personal belongings
Disruptions beyond its control (force majeure)
Temporary interruptions of utilities or services
4. Lost Property
Lost items will be kept for a period of three months. After this period, the items will be donated to charity.

5. VAT Changes
Changes in VAT rates imposed by local or national authorities may be applied without prior individual notification and will be charged at the rate applicable at the time of the guest’s stay.

6. Reservation Confirmation
A reservation becomes final after:

Written confirmation by the hotel via email, and
Receipt of a valid credit card guarantee or a deposit.
7. Cancellation Policy
Individual Reservations (or reservations of fewer than 5 rooms)
Reservations may be cancelled free of charge up to 48 hours before the arrival date.

In case of no-show or late cancellation, the first night will be charged at 100%.

Non-refundable rates cannot be cancelled or modified.

Group Reservations (5 rooms or more)
A group reservation is only guaranteed after receipt of a deposit.

If the reservation is cancelled, the deposit will not be refunded, unless otherwise agreed.

For group cancellations, the following conditions apply:

Up to 2 months before arrival: 20% of the total amount
Between 2 months and 1 month before arrival: 50% of the total amount
Between 1 month and 14 days before arrival: 75% of the total amount
Less than 14 days before arrival: 100% of the total amount
8. Force Majeure
In case of force majeure or foreseeable events beyond the control of the involved party, that party shall be released from its obligations without any compensation being due.

However, the party concerned undertakes to inform the other party by all possible means in order to limit potential damages as much as possible.

9. Payment
Payment is due at check-out, unless otherwise agreed.

In case of non-payment or absence of a valid credit card guarantee, Depraco NV reserves the right to suspend its services.

All invoices are payable in cash upon receipt, unless otherwise agreed.

10. Applicable Law
All agreements are governed by Belgian law.

In case of disputes, only the courts of Ypres (Ieper) shall have jurisdiction.

11. Late Payment
In case of late payment, a default interest of 1% per month will automatically be due, without prior notice, until full payment is made.

In addition, after the first notice of default, a fixed compensation of 10% of the invoice amount will be charged, with a minimum of €100.

Any late payment entitles Depraco NV to suspend all services and obligations.
